Privacy notice

StayOps is run by Iraady Ltd, Kigali, Rwanda ("we"). You can reach us at hello@iraady.com about anything on this page.

Who is responsible for what

For your own account details (name, email, sign-in records) we decide how the data is used, so we are the controller. For the information you enter about your properties, bookings and guests, you are the controller and we process it on your behalf, only to run the service for you. If you are a guest and want to see or correct information held about you, ask your host first. You can also email us and we will pass your request on.

What we collect

• Account: your name, business name, email address, country, phone number (optional), and a salted hash of your password. We never store your password itself.
• Records you add: properties and addresses, access notes, bookings (guest name, number of guests, dates, optional revenue), cleaning tasks, checklists, supplies, repair requests, guest issues, expenses, and the photos and receipts you upload.
• Calendar links: the iCal link you paste for a property. We read it to import bookings. These links can contain a private key, so treat them like a password.
• Staff accounts: the name, email and optional phone number of cleaners and managers you add, and the actions they take in the app (for example which checklist lines they ticked and when).
• Security records: sign-in time, IP address and device type for active sessions, and a short audit log of important actions such as a turnover being completed or an account deleted.
• On your phone: the mobile app keeps a copy of your data on the device so it works offline. It asks permission before it uses the camera or your photos. The morning reminder is scheduled on the device itself and is not sent through our servers.

We do not use advertising, tracking pixels or analytics cookies. We do not sell personal data. We do not collect location.

Why we use it

• To provide the service you signed up for: building your cleaning schedule, showing the checklist and photos, working out reports.
• To keep the service secure and prevent abuse (rate limits, sign-in checks).
• To answer your support questions and, if you ask, to manage your plan.

Cookies

The website sets one essential cookie that keeps you signed in. It is needed for the service to work, so no consent banner is shown. The mobile app stores a sign-in token in the device's secure storage.

Who handles the data

• Hosting: our servers run on Amazon Web Services in the United States (region us-east-1), behind Cloudflare.
• Email: password-reset and support emails are sent through Amazon SES.
• Calendars: when we read a calendar link, we contact the platform that hosts it (for example Airbnb or Booking.com) to fetch the bookings.

Because we are in Rwanda and our hosting is in the United States, your data is transferred internationally. We limit access to the people who need it to run the service.

How long we keep it

We keep your records while your account exists. When you delete your account, your profile, properties, bookings, tasks, photos and every record you added are deleted from our database and file storage straight away. Server backups are overwritten on a rolling basis. Short security logs without your content may be kept for up to 90 days.

Your choices and rights

• Delete your account yourself: in the web app under Settings, or in the mobile app under Settings. See how to delete your account.
• Export your data: Reports gives CSV and PDF downloads, and you can open any photo you uploaded.
• Correct or ask about your data: edit it in the app or email us.
• Depending on where you live (for example under UK or EU data protection law, South Africa's POPIA or Australia's Privacy Act) you may also have the right to object, to restrict processing, and to complain to your data protection authority. Email us and we will help.

Cleaners and other staff

If your host gave you a StayOps login, they are responsible for the records about your work. You can delete your own login in the app at any time. Your host keeps the cleaning records you created.

Children

StayOps is for adults who run or clean rental properties. It is not aimed at children.

Changes

If we change this notice in a way that matters, we will tell signed-in users in the app or by email before it takes effect.
